Privacy Notice

Utility Solutions Provider Ltd is the “data controller” for the information described here — meaning we decide how and why it is used, and we are responsible for looking after it.

• Your contact details — your surname, company name (if applicable), email address and phone number.
• Your project details — your project number, a description of the work, the site address, which utilities are involved, and the stage each one has reached.
• Updates we write for you — the progress notes our team adds, which you can read on your tracking page.
• Your documents — quotations, plans, invoices and similar paperwork relating to your project.
• Sign-in information — your email address and an encrypted form of your password. We never see or store your actual password.

We do not use USP Track for marketing, we do not build customer profiles, and we do not make any automated decisions about you.

We use this information to carry out the work you have asked us to do and to keep you informed about it. Our lawful basis is mainly performance of a contract — the agreement between us for your utility work — and, where a contract is not yet in place (for example at enquiry or quotation stage), our legitimate interests in responding to and managing your enquiry.

Where we keep records for longer than the work itself requires, that is to meet our legal obligations — for example accounting and tax record-keeping, and being able to answer questions about work we have carried out.

• You— once signed in, you can see your own projects. You cannot see any other customer's information, and no other customer can see yours.
• Authorised USP staff — a small number of our team who need access to manage projects.
• Our service providers — we use Supabase to host the service and its database, and an email provider to send you sign-in codes and account emails. They process the information only on our instructions.

We do not sell your information, and we do not share it with anyone else unless we are required to by law.

Your project information and documents are held on servers in the United Kingdom (London).

Some of our providers may handle limited information (such as delivering an email to you) on systems outside the UK. Where that happens it is covered by the safeguards those providers have in place, such as approved standard contractual terms.

We keep your project record and its documents for as long as we need them for the work, and then for a further period to meet our legal, accounting and insurance obligations — normally six years after your project is completed. After that, records are deleted.

Your USP Track sign-in account is removed once it is no longer needed, or sooner if you ask us to close it.

• Signing in needs your password and a one-time code sent to your email address.
• Access rules are enforced by the database itself, so you can only ever retrieve your own records.
• Your documents are held in private storage — they are not published on the web and cannot be found by search engines.
• Information is encrypted in transit, and staff actions on your record are logged so we can account for them.

USP Track uses only the cookies it needs to work — they keep you signed in and keep your sign-in secure. We do not use advertising or tracking cookies, and we do not use analytics that identify you.

You have the right to:

• ask for a copy of the information we hold about you;
• have inaccurate information corrected;
• ask us to delete information where we no longer need it;
• object to, or ask us to restrict, how we use your information;
• ask us to transfer your information to someone else.

To exercise any of these, email carl@utilitysolutionsproviderltd.com. We will respond within one month. There is no charge.

Please note that some information must be kept for the legal periods described above, so we may not always be able to delete everything immediately.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.

If we change how we use your information we will update this page and change the date at the top.
